Upload Visit Evidence

Supporting evidence helps provide context for monitoring responses and strengthens the reliability of field data.

FieldOps allows you to attach files directly to a visit, making it easy to support observations with photographs, documents and other relevant files.

Why Upload Evidence?

Evidence helps organizations:

  • Verify monitoring findings.
  • Support recommendations.
  • Document field conditions.
  • Maintain audit-ready records.
  • Improve reporting quality.

Adding evidence is optional but highly recommended whenever supporting documentation is available.

Supported File Types

You can upload a variety of file types, including:

  • Photographs
  • PDF documents
  • Microsoft Word documents
  • Microsoft Excel spreadsheets
  • Other supported file formats

Multiple files can be attached to the same visit.

Adding Evidence

Within the visit form, locate the Visit Evidence section.

Click Browse or drag and drop files into the upload area.

You may upload one or more files before creating the visit.

Viewing Uploaded Evidence

After a visit has been created, authorized users can view uploaded evidence directly from the visit.

Depending on the file type, evidence can be:

  • Previewed in the browser.
  • Downloaded for offline review.

Each file remains linked to the visit where it was uploaded.

Secure File Storage

Visit evidence is stored securely and is only accessible to users who have permission to view the associated visit.

Unauthorized users cannot access uploaded files directly.

This helps protect sensitive monitoring information while maintaining a complete record of each visit.

Evidence and Historical Records

Uploaded evidence becomes part of the permanent visit record.

Even if the monitoring template changes in the future, the evidence remains associated with the original visit, ensuring historical records remain complete.

💡 Best Practices

To improve the quality of monitoring visits:

  • Upload clear, high-quality photographs.
  • Use descriptive filenames where possible.
  • Attach documents that support your findings.
  • Include evidence for significant observations or non-compliance issues.
  • Review uploaded files before creating the visit.

Well-documented visits are easier to review, verify and report on.
