Create a Visit¶
After creating a monitoring template, field officers can begin recording monitoring activities by creating visits.
Each visit is linked to a monitoring template and captures responses, supporting evidence and audit information for a specific monitoring activity.
Before You Begin¶
Before creating a visit, ensure that the following have already been created:
- Program
- Project
- Site
- Monitoring Template
These records provide the context for the visit.
Creating a Visit¶
- From the navigation menu, open Visits.
- Click New Visit.
You will be presented with the visit form.
Visit Details¶
Begin by completing the basic visit information.
Program¶
Select the program the visit belongs to.
Project¶
Choose the project associated with the visit.
Only projects within the selected program are available.
Site¶
Select the site being visited.
Only sites associated with the selected project are available.
Monitoring Template¶
Choose the monitoring template to use for the visit.
Once selected, FieldOps automatically loads the monitoring sections and questions associated with the template.
Note
A snapshot of the monitoring template is created when the visit is saved. Future changes to the template will not affect this visit.
Visit Date¶
Select the date the monitoring activity took place.
Complete Monitoring Questions¶
After selecting the monitoring template, complete the monitoring questions displayed on the page.
Questions are grouped into sections to make data collection easier.
Depending on the template, responses may include:
- Short text
- Numbers
- Dates
- Dropdown selections
- Radio buttons
- Multiple selections
- Yes/No responses
- Long text observations
Required questions must be completed before the visit can be submitted.
Upload Visit Evidence¶
Supporting evidence can be attached to the visit.
Examples include:
- Photographs
- PDF documents
- Reports
- Supporting files
Evidence becomes part of the permanent visit record and can be viewed or downloaded by authorized users.
Submit the Visit¶
After completing the required information, click Create.
FieldOps validates the visit before saving it.
If required information is missing, the affected fields are highlighted and the visit cannot be created until the validation errors have been resolved.
After the Visit Is Created¶
Once created, the visit becomes part of your monitoring records.
Authorized users can:
- Review monitoring responses
- View uploaded evidence
- Track visit status
- View audit history
- Generate reports
- Include the visit in Business Intelligence dashboards
💡 Best Practices¶
For consistent and reliable monitoring data:
- Select the correct monitoring template before entering responses.
- Complete all required fields.
- Upload supporting evidence whenever possible.
- Review responses before creating the visit.
- Record visits as close as possible to the actual monitoring activity.
